Luncheon Registration Process

We are hopeful that you will be able to join us for each and every luncheon this year. Please make note of the registration guidelines below.

  • Registration for all luncheons will end at midnight the Friday before our Thursday luncheon. Members will be charged the normal $40 fee.
  • Late registrations received on the weekend, beginning at 12:01 a.m. on Saturday and ending at midnight on Sunday, will still be guaranteed a reserved seat for Thursday’s event at a cost of $45.
  • Cancelations must be requested through reservations@armyspousesclub.org by midnight the Sunday before the luncheon to receive a refund. 
  • Permanent Reservations are not refundable.   

The same timelines and fees will be applied to any visitors accompanying members.  We will purchase a meal for everyone with permanent reservations unless we are notified that they will not be able to attend. 

As always, please mark your calendars for the Army Spouses Club every third Thursday of the month.  In order to take advantage of the $40 luncheon fee, be sure to register promptly when you receive your luncheon notification.

Luncheons

When are the Army Spouses’ Club luncheons?

Our luncheons are held on the third Thursday of each month, usually from 10:30 a.m.–1:00 p.m. at Spates Hall, Fort Myer, unless otherwise noted. We hope you’ll join us often throughout the year!

How much does a luncheon cost?

The regular luncheon price is $40 per person when you register by midnight on the Friday before the luncheon.

Still want to come but missed the deadline? You have one more chance! Late registration is available Saturday and Sunday for $45 per person, and your seat for Thursday is still guaranteed.

When does registration close?
Regular registration closes at midnight Friday before the luncheon. Late registration is available from 12:01 a.m. Saturday through midnight Sunday. After Sunday night, registration is closed so we can provide our final meal count.

What if I register and then can’t attend?
We understand that plans change! To receive a refund, please email reservations@armyspousesclub.org by midnight Sunday before the luncheon. After that time, we have already committed to purchasing your meal and are unable to issue a refund.

How do I register?
Visit our Luncheons/Events page to see what’s coming up and reserve your seat. Registration information is also included in the luncheon invitation sent to members.

Can I bring a guest?
Absolutely! Members are welcome to bring guests to ASCGWA luncheons. If your guest is eligible for ASCGWA membership, they may attend as a guest once during the ASCGWA year.

You can add your guest when you register online. Already registered? Simply email reservations@armyspousesclub.org and we’ll help you add them.

What if I have a permanent reservation?
If you have a permanent reservation, a meal will automatically be ordered for you each month. If you won’t be attending, please let us know by the cancellation deadline so we don’t purchase a meal unnecessarily.

May I bring my children?
Our luncheons are designed as an adults-only gathering—a chance to enjoy a wonderful meal, good conversation, and a little time away with friends. Nursing and young infants who need to remain with their mothers are always welcome.

Once little ones are crawling, walking, or ready to explore, we kindly ask that you make other arrangements for them so you—and everyone around you—can relax and fully enjoy the luncheon.

What should I wear?
Think Smart Casual or Business Casual. Authorized uniforms are also welcome at Spates Hall during the day. Please leave the jeans at home.

Do I need to be a member to attend?
Many ASCGWA events—including our luncheons—are for members only. Not a member yet? Join ASCGWA and come be part of the fun!

Tours

When do tour registrations open?

We share tours as soon as all the details are confirmed, with registration typically opening about three weeks before each event. Popular tours can fill quickly, so keep an eye out for your invitation!

The tour is full. Should I still join the waitlist?

Absolutely!  Plans change, and spots often become available. We contact members in the order they joined the waitlist. If we don’t hear back within a reasonable time, we’ll offer the opening to the next person waiting.

What if I register and then can’t attend?

Please let us know as soon as possible—we may have another member hoping for your spot! Rather than transferring your registration directly to a friend, we’ll offer the opening to the next member on the waitlist so everyone has a fair opportunity to attend.

How do we get there?

Unless otherwise noted, transportation is on your own—but carpooling is always encouraged! Looking for a familiar face to ride with? Click “Registrants” under the tour listing on our Events page to see who else is going.

How are tour prices determined?

Our goal is simple: offer terrific experiences to our members at the most reasonable cost possible. Tours are not fundraisers, and the Club does not add a profit to tour pricing.

Can I receive a refund if my plans change?

Because reservations, tickets, and other tour expenses are often paid in advance, tour registrations are generally non-refundable. We understand that truly unexpected circumstances arise, and very limited exceptions may occasionally be considered. Please remember that processing fees and advance commitments often mean the Club absorbs the cost when a refund is issued.

Can I give my spot to someone else?

To keep things fair for everyone, tour registrations aren't transferable. If you can no longer attend, just let us know and we'll contact the next member on the waitlist.

Can I bring a guest?
Sometimes! While tours are primarily a benefit of ASCGWA membership, we occasionally have the opportunity to welcome adult guests. When guest registration is available, it will be clearly noted in the tour invitation.

Can I bring my children on a tour?
Our tours are planned with our adult members in mind, but we occasionally offer family-friendly adventures, too! If children are invited, it will be clear in the tour information.

Nursing babies and young infants are, of course, always welcome with their mothers. Because some of the special places we visit may have space, accessibility, security, or other venue considerations, we encourage you to consider whether a particular tour will be comfortable and enjoyable for you and your little one.

Anything else I should know?
Just come ready to explore, meet some great people, and have fun. We take care of the planning so you can enjoy the experience!


I agree that when attending and/or participating in an event organized by the Army Spouses’ Club of the Greater Washington Area (ASCGWA), I do so at my own risk.
